As our business continues to grow, we’re seeking a friendly, detail-oriented HVAC Dispatcher & Customer Service Coordinator to be the first point of contact for our customers and to help keep our operations running smoothly by coordinating technician schedules with efficiency and care.
Job Summary
We’re looking for a sharp, dependable HVAC Dispatcher & Customer Service Coordinator to be the communication hub between our customers and field technicians. You'll be responsible for managing front desk duties, customer communication, and dispatch coordination for HVAC service technicians. If you’re organized, calm under pressure, and thrive in a fast-moving environment, this role might be a perfect fit.
What You’ll Do:
- Communicate Clearly: Be the first point of contact for customers—take service calls, explain next steps, and keep them updated throughout.
- Coordinate Daily Schedules: Dispatch HVAC service technicians to residential and commercial job sites, balancing urgency, location, and skillset.
- Keep Things Moving: Monitor technician progress and update schedules in real time to handle delays, emergencies, or high-priority jobs.
- Support the Field Team: Relay job details, parts needed, and any changes so technicians are informed and efficient.Ensure any necessary materials are in stock.
- Stay Organized & Efficient: Maintain and update the dispatch board in real time, log call details, job outcomes, and technician notes to ensure smooth billing and follow-up.
What You Bring:
- 1+ year of experience in dispatching (preferably in HVAC or related trades industry).
- Strong multitasking and time-management skills—you can juggle a dozen calls without missing a beat.
- Professional phone presence and a customer-first mindset.
- Familiarity with dispatch or CRM software (bonus if you’ve used HVAC-specific platforms).
- Ability to remain calm and professional in a fast-paced environment.
- Comfort with basic HVAC terminology or willingness to learn fast.
