The Assistant Project Manager plays a hands-on role in driving projects forward alongside a collaborative Development and Construction team. Working across all phases, from pre-development through lease-up and close-out, you’ll help keep complex projects on track by managing budgets, processing change orders and invoices, and coordinating with accounting and cost teams. This fast-paced role also includes overseeing key documentation, supporting project reporting, and jumping in on day-to-day operations to ensure smooth execution and progress.
Essential Job Functions
- Provide administrative, logistical, and operational support across multiple development and construction projects.
- Coordinate meetings, site visits, inspections, and scheduling activities; prepare agendas, take minutes, and track action items.
- Maintain project calendars, documentation, and tracking tools to ensure smooth communication and accountability.
- Support project budgeting and financial processes, including preparing draw requisitions, tracking costs, processing invoices, and reconciling against project budgets.
- Interface with accounting and cost control teams to ensure financial accuracy and adherence to protocols.
- Assist in the management of consultant/vendor contracts—supporting RFPs, change orders, compliance, and payment workflows.
- Monitor project progress, flag risks or delays, and communicate key updates to team members and senior leadership.
- Organize and maintain critical project documentation, including drawings, permits, contracts, insurance certificates, compliance records, and certificates of occupancy.
- Help prepare project reports, status updates, and investor communications.
- Ensure company and regulatory compliance throughout the project lifecycle.
- Support process improvement and post-project close-out activities.
- Must be present on-site and be able to move throughout the buildings and construction sites to address development and construction related matters, including exceptional communication skills to meet with construction team, staff, vendors and visitors.
- Ability to travel between the main office and site locations within the portfolio and be able to ascend and descend stairs, including comfortability with exposure to varying environmental climates and circumstances.
- Position may be required to perform duties outside their normal responsibilities as needed.
Qualifications
- Bachelor’s degree in Real Estate, Finance, Project Management, Business Administration, Architecture, Engineering, or a related field. Master’s degree is preferred.
- Minimum 3 years of relevant experience in real estate development, financial analysis, project coordination, or construction project management.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); advanced Excel skills (e.g., financial modeling, pivot tables, VLOOKUPs) strongly preferred.
- Familiarity with development underwriting, financial feasibility analysis, and pro forma modeling.
- Experience analyzing and presenting key development metrics (e.g., IRR, ROI, NPV, absorption rates).
- Strong organizational and time-management skills; able to manage multiple priorities and meet deadlines in a fast-paced environment.
- Excellent verbal and written communication skills; capable of presenting complex data clearly to both technical and non-technical audiences.
- Proficiency with accounting and project management software (e.g., Sage, GCPay, BlueBeam); familiarity with real estate financial software a plus.
- Analytical and detail-oriented, with strong problem-solving abilities and a strategic, data-driven mindset.
- Demonstrated ability to synthesize market research, zoning data, and financial insights into actionable recommendations.
- Comfortable working both independently and collaboratively across cross-functional teams (Development, Construction, Accounting, Property Management, Asset Management).
- Must be on site in Westchester five days per week and have the ability to move through construction sites and travel between office and site locations as needed.
- Work authorization required.
In addition to base compensation, significant incentive pay and full benefits packages are available.
Annual salary range: $90,000 - $100,000
