Job Description: Accounts Receivable Accountant
Start Date: July 2025
Reports to: Chief Financial Officer
Brief Description:
Reporting to the CFO, the Accounts Receivable Accountant is responsible for managing all aspects of accounts receivable and student billing while providing accounting support for key financial operations. The role includes recording and reconciling all incoming revenue and payments, managing tuition billing, supporting the audit process, and ensuring that all financial activity is properly documented. The position works closely with the Development Office, Admissions, and other departments to ensure financial accuracy and donor compliance. Blackbaud Tuition Management and Financial Edge are core tools used in this position.
Responsibilities:
- Post all receipts to the General Ledger using Financial Edge.
- Assist in the month-end and fiscal year-end closing processes.
- Prepare monthly bank reconciliations for operating and restricted accounts.
- Assist in preparing documentation for the annual audit and respond to auditor inquiries related to assigned responsibilities.
- Maintain accurate and organized documentation to support financial transactions and audit requirements.
- Track and classify restricted and unrestricted donations in accordance with donor intent and fund accounting principles.
- Assist in tuition and revenue recognition procedures in compliance with applicable accounting standards.
- Coordinate with the Development Office to reconcile donations, gifts, pledges, and stock contributions monthly and ensure proper accounting.
- Perform various reasonable tasks from time to time as requested by the Head of School and the CFO.
- Know and comply with the established policies and procedures of Brooklyn Heights Montessori School as stated in the Faculty and Staff Handbook
Student Billing / Accounts Receivable
- Manage and maintain student billing through Blackbaud Tuition Management and Financial Edge.
- Ensure timely and accurate entry of tuition, afterschool, summer camp, and incidental charges.
- Works with the Admissions Office on preparation, registration and tracking of student enrollment agreements.
- Set up and monitor family tuition payment plans; follow up on delinquent accounts with families.
- Prepare journal entries required for all incidental billing, financial aid, tuition, and donations.
- Reconcile student billing accounts and record general ledger entries in the accounting system.
- Maintain confidentiality in all financial and family communications.
- Ensure adherence to internal controls and financial procedures.
- Support other business office functions and cross-train as needed.
- Ensure availability and accuracy of business office forms.
- Receive, apply, and report all payments accurately; confirm completeness of family and vendor account details.
- Collaborate with other departments to ensure accurate financial communication and processing.
Requirements
- Bachelor’s degree in accounting, finance, or a related field required.
- Minimum of 4-5 years of experience in accounting, accounts receivable, and/or financial operations.
- GAAP accounting knowledge
- Strong knowledge of General Ledger/Journal Entry preparation and reconciliation.
- Experience with Blackbaud Tuition Management and Financial Edge strongly preferred.
- Knowledge of Veracross system is preferred.
- Understanding of non-profit/fund accounting and donor restrictions.
- Familiarity with nonprofit or independent school accounting practices is strongly preferred.
- Proficient in Microsoft Excel and standard business software.
- Strong attention to detail and organizational skills.
- Excellent communication and customer service abilities.
- Organized & detail oriented.
- High degree of integrity and discretion in handling confidential information.
