Job SummaryWe are seeking a proactive, organized, and highly professional Executive Assistant to provide high-level administrative support in a fast-paced environment. The ideal candidate will have experience working on a trading floor and supporting multiple teams or executives simultaneously. This role requires exceptional multitasking, discretion, and communication skills, as well as the ability to thrive in a dynamic and high-pressure workplace.
Key Responsibilities
- Provide telephone coverage: answer calls, take accurate messages, and manage banker availability
- Maintain executive calendars and schedule meetings, conference calls, and events
- Coordinate conference rooms, AV setups, and catering for internal and external meetings
- Assist analysts with Lucite orders, closing dinners, and client outings
- Manage all aspects of travel arrangements, including flights, hotels, car rentals, and travel approvals
- Prepare detailed itineraries and keep travel profiles up to date
- Submit accurate and timely expense reports
- Draft and type correspondence, memos, and presentations
- Assemble presentation books and meeting materials (copying, collating, and binding)
- Maintain organized filing systems (physical and digital)
- Navigate firm systems and liaise with other departments to obtain information or services
- Retrieve research materials via internet and internal systems
- Manage faxing, mail distribution, and courier services
- Provide back-up support for colleagues and their teams during absences
- Maintain an organized and efficient workstation and set up mail groups as needed
Required Qualifications
- College degree or equivalent corporate administrative experience preferred
- Proficient in Microsoft Office Suite, especially Outlook, Excel, PowerPoint, and internet research tools
- Strong organizational and time management abilities with keen attention to detail
- Excellent communication and interpersonal skills
- Ability to manage multiple tasks and priorities in a high-pressure environment
- Demonstrated judgment, discretion, and professionalism
- Team-oriented and flexible with support responsibilities across departments
- Familiarity with financial services, trading floor, or investment banking environments is a plus
Preferred Qualifications (if any)
- Experience supporting teams in finance, trading, or investment banking
- Familiarity with Lucite, travel platforms, and expense management systems
Certifications (if any)
- No certifications required, but administrative or business operations training is a plus
