About the Role:
We are seeking a highly organized, focused, and friendly Personal Assistant to support a busy, creative baker and company owner. The ideal candidate will be discrete, extremely detail-oriented, and capable of managing multiple projects in a fast-paced environment with professionalism and ease. This role offers a dynamic work environment where anticipation, proactive planning, and excellent follow-through are essential.
Key Responsibilities:
· Calendar & Schedule Management: Oversee and coordinate the owner’s appointments, meetings, and events; ensure smooth day-to-day scheduling and quick adjustments as needed.
· Correspondence & Communication: Manage all incoming and outgoing emails, phone calls, and messages with professionalism. Maintain and update the owner’s extensive contact list.
· Gatekeeping & Liaison Duties: Serve as a primary point of contact, filtering requests, managing inquiries, and prioritizing the owner’s time.
· Event & Request Coordination: Assist with planning and executing personal and business events, including reservations, donations, and special requests.
· Travel & Errands: Arrange travel itineraries, reservations, and perform personal errands efficiently and discreetly.
· Office Organization: Maintain a tidy, functional office environment; manage supplies and digital files.
· Business Support: Prepare minutes for staff meetings, assist with managing the company’s online presence, and support day-to-day business operations.
· Project & Task Management: Switch seamlessly between tasks, manage multiple projects simultaneously, and ensure deadlines are met.
· Downtime Support: Work independently during owner’s downtime to anticipate needs, prepare materials, or complete assigned tasks.
Qualifications & Skills:
· Minimum of 2 years experience as a personal or administrative assistant.
· Bachelor’s Degree.
· Highly organized, detail-oriented, and able to stay focused in a fast-paced environment.
· Exceptional follow-through and ability to anticipate needs.
· Strong written communication skills with excellent editing and writing abilities.
· Technologically savvy with fluency in Microsoft Office (Word, Excel, PowerPoint), Adobe Creative Suite, management software, and other digital tools.
· High level of technological literacy and adaptability.
· Valid driver’s license and clean driving record.
· Friendly, discreet, and professional demeanor.
· Interest in food and wine is a plus but not required.

· Ability to switch quickly between tasks and manage shifting priorities.
· Self-motivated and capable of working independently during periods of owner’s absence.
· Excellent interpersonal skills; comfortable interacting with a variety of contacts and stakeholders.
