Job DescriptionWe are looking for a skilled Administrative Assistant to join our team in Melville, New York. This is a long-term contract position within the real estate and property management industry, offering a dynamic work environment where your organizational and communication skills will play a key role in supporting property managers and ensuring smooth office operations.
Responsibilities:
• Provide comprehensive support to property managers, including coordinating tasks and managing schedules.
• Oversee and document change orders for various projects, ensuring accuracy and compliance.
• Process and manage supply orders for office buildings to maintain operational efficiency.
• Attend meetings and conference calls as needed, taking detailed and accurate minutes.
• Draft and send written correspondence to office buildings, ensuring clear and effective communication.
• Monitor outstanding work orders for office buildings and prepare detailed status updates.
• Organize and maintain the company's electronic filing system for easy access and retrieval.
• Communicate effectively with tenants to deliver exceptional customer service and address inquiries.
• Perform general office duties, including answering inbound calls and administrative tasks.
• Create and update records and spreadsheets, ensuring all data is accurate and up-to-date.• Proven experience in administrative assistance within a detail-oriented environment.
• Proficiency in Microsoft Outlook, Word, and Excel is essential.
• Strong organizational skills with the ability to manage multiple tasks simultaneously.
• Excellent written and verbal communication skills.
• Ability to maintain attention to detail and accuracy in all tasks.
• Familiarity with data entry, receptionist duties, and general office operations.
• Customer service experience, particularly in tenant or client-facing roles.
• Capacity to work independently and collaboratively in a team-oriented environment.
