SALESFORCE ADMINISTRATOR

FLSA Status: Full-Time Exempt

Department: Finance & Administration

Reports to: Head of Finance

Salary: $85,000 - $95,000

Schedule: Hybrid - 2 Days in office (W/Th) 9:30am – 5:30pm

ABOUT HER JUSTICE

Her Justice is a nonprofit organization that stands with women living in poverty in New York City. We recruit and mentor volunteer lawyers to provide free legal help in the areas of immigration, family, and matrimonial law to address individual and systemic legal barriers.   

100% of our clients are women living in poverty in the five boroughs of New York City.  In FY2024, 92% of our clients were women of color, 85% were survivors of intimate partner violence, 70% were mothers, and 49% spoke a primary language other than English.

Since 1993, we’ve provided life-changing free legal help to over 45,000 women and children and we’ve pursued policies that have bettered the experiences and outcomes for thousands more. Her Justice is committed to creating a more fair and functional civil justice system for women in New York City, so they can build safer, freer futures for themselves, their families, and their communities.

SUMMARY

The Salesforce Administrator plays a critical role in managing and evolving Her Justice’s Salesforce platform, which serves as the organization’s primary case management and data infrastructure system for tracking clients' cases, intake workflows, and pro bono attorney assignments. This role oversees the full lifecycle of database management, including system configuration, user support, data integrity, reporting, and cross-departmental collaboration. The Administrator leads the ongoing transition to Salesforce Nonprofit Cloud, ensuring the system is responsive to the organization’s legal service delivery model, pro bono partnerships, and client-centered approach.

The Salesforce Administrator will serve as the internal expert and primary liaison to Salesforce consultants, responsible for implementing system enhancements, coordinating quarterly releases, and supporting integration with other tools such as Microsoft Power Automate. They will work closely with legal, operations, and development teams to align workflows, generate grant reports, and maintain compliance with data quality standards. This role also provides onboarding and training for new users, technical support for legal clinics and staff events, and contributes to a strong organizational infrastructure that supports Her Justice’s mission of advancing racial, gender, and economic justice for women living in poverty in New York City.

This is a highly collaborative, mission-driven role for someone who combines technical Salesforce expertise with a systems-thinking mindset, strong communication skills, and a commitment to social justice.

RESPONSIBILITIES

Database and Data Management

  • Lead the ongoing transition to Salesforce Nonprofit Cloud with identified projects to build within Salesforce.

  • Oversee onboarding for incoming staff, externs, and interns with database application and data entry, and offboarding and transfer of data.

  • Evaluate & implement organization’s database and applications for best streamlined workflow integrations in business functionality.

  • Collaborate with staff and volunteers to refine referral, intake, database entry and evaluation procedures, including implementation of changes and quarterly releases to database to improve all user experiences.

  • Provide guidance, training, support, and documentation on best practices for data tracking, reporting, and workflows.

  • Support change management efforts by helping staff adapt to new features, workflows, and systems updates with empathy and structured training.

  • Review data integrity and provide guidance on ensuring data assurance.

  • Produce necessary reports for the legal team as part of the audit and review all data and cases for quality assurance.

  • Generate regular quarterly and annual data reports templates for government grants and foundations.

  • Act as direct liaison with the database Consultants.

  • Administration of user profiles for staff, externs, and interns with appropriate permissions.

Systems Analysis & Workflow

  • Assess and provide solutions for other business systems utilized within the organization, including Microsoft Power Automate.

  • Support the IT department in streamlining and improving the business processes and efficiency including supporting Service Cloud infrastructure.

Training and Clinics

  • Provide guidance and documentation on best practices for technical systems in trainings.

  • Coordinate with legal department staff and firms in registration, technology and room set-up requirements, and post-event data tracking in Salesforce.

  • Evaluate applications utilized in trainings, registrations, and communications and implement solutions with staff’s input.

Administrative Support

  • Participate in special events, including both fundraising and volunteer recognition events.

  • Provide general administrative support for Director of Finance & Operations or Operations team including support with team/large meeting logistics and employee/cultural initiatives gatherings.

QUALIFICATIONS

Required

  • Bachelor’s degree or equivalent experience in a related field (e.g., Information Systems, Data Management, Nonprofit Administration).

  • 4–5 years of professional experience in database administration, including system configuration, user support, and data reporting.

  • Hands-on experience with the Salesforce Nonprofit Starter Pack (NPSP).

  • Advanced proficiency with CRM platforms and data architecture, with a demonstrated ability to manage complex datasets.

  • Strong analytical and problem-solving skills with the ability to identify patterns, gaps, and opportunities for system improvement.

  • Excellent organizational skills and keen attention to detail.

  • Proven ability to drive consensus and collaborate across departments and stakeholders with varying technical skill levels.

  • Experience designing and delivering user training and documentation for non-technical audiences.

  • Proficiency in Microsoft Office Suite (especially Excel, Outlook, and Teams).\

Preferred

  • 3–5 years of experience in a legal services, law firm, or nonprofit service delivery setting.

  • Experience with Salesforce Nonprofit Cloud.

  • Additional Salesforce certifications (e.g., Administrator, Advanced Administrator, Platform App Builder).

  • Fluency in Spanish.

WORK ENVIRONMENT

  • Hybrid with 2 days a week in office required (subject to change based on business needs).

  • Local travel may be required to attend meetings with law firms and partnering agencies to conduct outreach and trainings.
  • Travel to conferences may also be required.

IN-OFFICE WORK:

Her Justice works on a hybrid schedule with in office days being Wednesday and Thursday. We currently do not accept fully remote applicants.
