Position Overview
The Inventory Control Specialist is responsible for maintaining accurate control and traceability of finished goods inventory within the warehouse at Cayuga Milk Ingredients (CMI). This role ensures produced product is received, stored, counted, and transacted accurately within the ERP system to support SQF compliance, food safety, customer requirements, and regulatory expectations. The Inventory Control Specialist plays a key role in maintaining an organized, controlled, and audit-ready warehouse environment.
Key Responsibilities
- Maintain accurate finished goods inventory records in the ERP system, ensuring real-time visibility and traceability.
- Receive produced product into the warehouse, verifying quantities, lot codes, dates, and condition against production and shipping documentation.
- Perform routine cycle counts and periodic physical inventories in accordance with documented procedures; investigate and report discrepancies.
- Execute ERP inventory transactions, including receipts, transfers, adjustments, and shipments, in compliance with internal controls and SQF requirements.
- Generate and review inventory and traceability reports from the ERP system to support internal verification, reconciliation, and audit activities.
- Ensure proper product identification, labeling, lot traceability, and FIFO/FEFO rotation in alignment with SQF, customer, and food safety standards.
- Maintain warehouse storage locations in a clean, organized, and controlled manner consistent with 5S, GMP, and SQF expectations.
- Support shipping and receiving activities by verifying product, documentation, and inventory accuracy prior to movement or release.
- Identify and escalate inventory discrepancies, damaged product, or food safety concerns to warehouse and quality leadership immediately.
- Support mock recalls, trace exercises, internal audits, and third-party audits by providing accurate inventory records and documentation.
- Comply with all applicable SQF Code requirements, New York State Agriculture & Markets, FDA, USDA, OSHA, and GMP regulations.
- Follow all food safety, sanitation, chemical handling, and PPE requirements to maintain a safe and compliant work environment.
- Participate in required food safety, SQF, and operational training.
Qualifications & Requirements
- High school diploma or equivalent required; associate degree or relevant certification preferred.
- 2+ years experience in warehouse inventory control within a food, dairy, or other regulated manufacturing environment preferred.
- Demonstrated experience using ERP systems for inventory tracking, reporting, and traceability.
- Strong attention to detail with a focus on accuracy, documentation, and compliance.
- Working knowledge of FIFO/FEFO, lot control, and finished goods traceability.
- Proficiency in Microsoft Excel and basic reporting tools.
- Strong verbal and written communication skills.
- Ability to work independently and as part of a team in a controlled warehouse environment.
- Ability to lift up to 50 pounds and perform physical warehouse tasks.
- Flexibility to work varying shifts, overtime, or weekends as operationally required.
- Experience operating forklifts, pallet jacks, or similar material-handling equipment preferred.
- Familiarity with SQF, GMP, FDA, and food safety audit expectations is strongly preferred.
Physical Requirements
- Ability to work in warehouse and temperature-controlled environments, including refrigerated areas when required.
- Required use of personal protective equipment (PPE) at all times while performing job duties.
- Ability to stand, walk, bend, reach, and lift throughout a full shift.
- Ability to independently lift and move items weighing up to 50 pounds; heavier items handled using appropriate equipment.
- Visual acuity sufficient to verify product labels, lot codes, and inventory records.
- Ability to assess weights, judge distances, and safely operate warehouse equipment.
Work Schedule:
- Generally Monday-Friday 6am-230pm with flexibility on start and stop times.
- Flexibility to work varying shifts, overtime, or weekends as operationally required.
Compensation:
At Cayuga Milk Ingredients, we value a fair and comprehensive approach to compensation. Our wage range for this role is determined by various factors, including skill sets, experience, training, licensure, certifications, and organizational needs. It is not typical for an employee to start at or near the top of the range for the position. Compensation decisions are made based on individual job circumstances considering skill level, previous experience, and education requirements.
