Job Summary:
We are seeking a reliable and highly organized Dispatcher to join our operations team. The ideal candidate will be responsible for coordinating daily deliveries, scheduling drivers and contractors, receiving and managing inventory, and providing top-tier customer service. This role is critical to ensuring the efficient flow of goods and communication between the company, customers, and field staff.
Key Responsibilities:
Dispatch & Scheduling
- Schedule and dispatch drivers, technicians, or contractors for deliveries, service calls, or installations.
- Optimize routes and schedules for efficiency and customer satisfaction.
- Monitor real-time delivery and service progress; adjust schedules as needed for delays or emergencies.
- Maintain clear communication with drivers and contractors throughout the day.
Customer Service
- Act as point of contact for customer inquiries, warehouse personnel, drivers, contractors, etc. via phone, email, or messaging.
- Provide accurate updates on delivery or service status.
- Resolve customer complaints or escalate issues when necessary.
- Maintain a positive and professional demeanor with all customer interactions.
Inventory & Receiving
- Receive and verify incoming inventory shipments.
- Maintain accurate inventory records in internal systems or software.
- Coordinate with warehouse staff to ensure proper storage and tracking of items.
- Report inventory discrepancies or damages to appropriate personnel.
Administrative & Coordination Tasks
- Prepare and maintain dispatch logs, schedules, and reports.
- Communicate job details, requirements, and timelines to drivers and contractors.
- Ensure compliance with safety standards, company policies, and delivery protocols.
- Support interdepartmental communication between sales, service, and logistics teams.
QUALIFICATIONS
- High school diploma or GED required; associate degree or relevant coursework a plus.
- 2+ years of experience in dispatching, logistics, or a similar coordination role.
- Strong customer service and communication skills (both verbal and written).
- Proficiency in dispatch software, routing tools, and Microsoft Office Suite.
- Excellent organizational and time management skills.
- Ability to work under pressure and manage multiple priorities.
