Job Title: Administrative Assistant

Key Responsibilities:
- Document Management:
- Prepare, request and organize essential client documents, including:
- From 2848 (Power of Attorney) via DocuSign.
- Client transcripts and tax returns.
- Billing invoices and client financial records.
- Maintain accurate records in the firm’s database.
- Portal Management:
- Send and manage client invitations as related to the firm’s portal.
- Assist clients with accessing and navigating the portal.
- Administrative Support:
- Manage schedules, appointments, and team meetings.
- Handle correspondence, including emails and phone calls.
- Team Collaboration:
- Assist team members with various administrative tasks as needed.
- Ensure smooth and professional communication and workflow within the firm and with our clients.
Qualifications:
- Previous experience as an administrative assistant or in a similar role.
- Strong organizational skills with exceptional attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with DocuSign and client portals is a plus.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and prioritize effectively in a fast paced environment.
- Familiarity with the accounting or financial services industries.
