Priority Screening: June 2, 2025 Position Summary:SUNY Ulster County Community College, a two-year branch of the State University of New York located ninety miles north of New York City in the Catskill Mountains, is currently accepting applications for a Program Assistant in the Nursing Department.

The Nursing Program Assistant plays a vital role in supporting the SUNY Ulster Nursing Program by managing student data, coordinating day-to-day operations, and performing a range of administrative tasks. This position is essential to ensuring the program runs efficiently, remains compliant with institutional and accreditation standards, and delivers high-quality service to students, faculty, and external stakeholders. The role requires discretion, sensitivity, and the ability to handle confidential information with the utmost trust and professionalism.

Duties and Responsibilities: Department Operations

  • Manage the day-to-day operations of the department (eg. assist faculty and coordinators, clerical duties, contracts, assist with advisement and retention efforts, book orders, answer phones, maintain supplies, manage Department email, other).
  • Provide support to student, faculty, coordinators, and department needs
  • Schedule and support meetings, events (e.g., Pinning Ceremony, Advisory Committee), and student/faculty appointments.
  • Take meeting minutes, prepare agendas, and assist with office organization.
  • Maintain departmental website and social media.
  • Assist with class scheduling and room management.

Retention and Recruitment

  • Provide support for Open House and Information Sessions
  • Ordering and proctoring HESI exams

Student Services & Records

  • Accurately enter and maintain student and applicant data.
  • Manage clinical compliance data (immunizations, CPR, insurance, background checks).
  • Guide students through program requirements, applications, and admissions.
  • Assist with the application and admissions process.
  • Maintain organized electronic and paper records.

Budget & Purchasing

  • Maintain budget data and assist with annual budget prep.
  • Process requisitions, track purchase orders, and submit invoices.

Data Management & Reporting

  • Collect and analyze data for reports, presentations, and accreditation.
  • Ensure compliance with accreditation requirements and faculty credentials.
  • Maintain current Affiliation Agreements and MOAs with clinical sites.

Special Projects

  • Support the Department Chair on special projects.

Additional Responsibilities

  • Perform other duties as assigned.

Minimum Qualifications:

  • Associate’s Degree
  • strong computer skills, including word processing and spreadsheet knowledge
  • attention to detail
  • ability to work independently and with all levels of staff and faculty
  • excellent interpersonal skills.

  • Commitment to community college goals and objectives of providing quality programs and services for culturally, socio-economically, ethnically, and academically diverse students and students with disabilities; personal qualities to work effectively and with sensitivity in a multicultural environment; awareness of and commitment to the needs of non-traditional and/or re-entry students with diverse abilities and interests.

Preferred Qualifications

  • Experience with Banner, ExamSoft, Microsoft Office (Outlook, Excel, Word)

Salary:An initial starting salary of $41,600 annually with an excellent benefits package. This position is contingent upon adequate funding.

In addition, OPAP-covered members receive, on an annual basis: 24 vacation days, 12 sick days, 6 personal days, and 15 holidays including 4 floating holidays. In addition, the College is closed on the day prior to Thanksgiving, and between December 26 - January, 1, known as the Holiday Curtailment.
