Logistics and Allocation Coordinator

Summary
The Logistics and Allocation Coordinator supports the end-to-end order lifecycle by executing daily logistics, allocation, and ERP-related tasks. This role ensures accuracy in order processing, inventory control, and shipment coordination. Working closely with Sales, Warehouse, EDI, and Import teams, the Coordinator ensures orders are routed, allocated, and shipped on time and in compliance with customer requirements.

Key Responsibilities

Order Management & ERP Execution

  • Enter and update customer purchase orders in the ERP system with accuracy.
  • Allocate inventory against orders, ensuring correct matching of on-hand and in-transit stock.
  • Support data integrity by maintaining clean order and inventory records.
  • Run open order and allocation reports to track order status and highlight issues for escalation.

Logistics & Shipping Coordination

  • Coordinate daily outbound shipments, ensuring routing guides, shipping windows, and customer requirements (ASN/UCC, BOLs, labels) are met.
  • Prepare and distribute shipping documents such as packing lists, bills of lading, and routing confirmations.
  • Follow up with carriers to confirm pickups and resolve shipping discrepancies.
  • Support the inbound process by tracking container arrivals and updating ERP with ETAs.

Inventory Control & Allocation

  • Monitor stock levels in ERP, reporting discrepancies between physical and system counts.
  • Assist with cycle counts and reconciliation efforts.
  • Ensure allocations match customer deadlines, cancel dates, and inventory availability.

Cross-Functional Support

  • Communicate proactively with Sales on order status, backorders, and substitutions.
  • Partner with Warehouse to ensure orders are prioritized and fulfilled correctly.
  • Support EDI team with order acknowledgements and compliance requirements.
  • Provide timely updates to Import team regarding incoming inventory impacting allocations.

Process Support & Improvements

  • Identify recurring issues in allocation or logistics processes and suggest solutions.
  • Maintain backup documents (BOLs, PODs, routing approvals) in ERP for audit compliance.
  • Support system clean-up projects (old orders, mismatched allocations, incomplete shipments).

Qualifications

  • 3–5 years experience in logistics, warehouse operations, or supply chain coordination.
  • ERP proficiency (AMT ERP a plus).
  • Strong organizational and attention-to-detail skills.
  • Knowledge of routing guides, shipping documentation (ASN/UCC, BOLs, labels) preferred.
  • Proficiency in Microsoft Excel (VLOOKUP, pivot tables), Word, and Outlook.
  • Ability to multitask in a fast-paced environment and communicate clearly with multiple teams.
  • Bilingual in Spanish is a plus.
