Join our dynamic team as a Lead Meeting Support Specialist, where you’ll play a vital role in facilitating seamless in-person and virtual meetings. Your expertise will ensure that our teams collaborate effectively and efficiently, making critical decisions to drive organizational success. You’ll coordinate resources, provide technical support, and lead a team of up to five specialists, delivering exceptional service and high-quality meeting experiences.
Pay Range: $28-$30
Key Responsibilities:
Meeting Coordination
- Schedule meetings, ensuring availability of participants and resources.
- Arrange venues, catering, and equipment for in-person meetings.
- Set up and manage technical aspects of virtual meetings, ensuring smooth execution.
Technical Support
- Troubleshoot technical issues during meetings, providing real-time support.
- Conduct pre-meeting checks to ensure audiovisual systems are operational.
- Train employees on meeting technologies and tools.
Documentation & Recordkeeping
- Maintain accurate records of meeting schedules, attendance, and follow-ups.
- Communicate action items to stakeholders for accountability.
Meeting Facilitation
- Facilitate virtual and in-person meetings, keeping agendas focused and on track.
- Assist with time management to ensure all topics are covered effectively.
Continuous Improvement
- Evaluate and improve meeting processes, integrating new tools and technologies.
Communication & Collaboration
- Act as a liaison between meeting organizers and participants, addressing inquiries.
- Distribute meeting materials to attendees in advance.
Team Leadership
- Lead and inspire meeting support specialists, fostering a culture of excellence in service delivery.
- Provide mentorship and training to team members to enhance their skills.
- Promote effective communication and teamwork among staff.
Training
- Participate in professional development programs to stay updated on best practices and meeting support technologies.
Qualifications & Skills:
- High school diploma or equivalent; college degree preferred.
- Minimum of 1 year of experience in a similar role.
- Proficiency in Microsoft Office Suite, especially Outlook and Excel.
- Strong communication skills, both verbal and written.
- Ability to multitask in a fast-paced, high-energy environment.
- Exceptional attention to detail and organizational skills.
- A positive, client-first attitude with the ability to adapt to changing priorities.
