Position Summary

The City Hall Older Adult Center (CHOAC) is one of the largest older adult centers in New York City. It provides nutritious meals, vital services, and engaging activities to older adults from across the city. Recognized as a model for delivering high-quality, high-volume programming that is both culturally and linguistically responsive, CHOAC holds a prominent public profile and strong community visibility.

The Program Aide/Office Manager Assistant plays a key role in ensuring the smooth and effective functioning of both administrative operations and program activities. Responsibilities include—but are not limited to—organizing and filing paperwork, handling membership registration and sign-ups, supporting daily office and program operations, preparing monthly reports, and assisting with the meal program. This position reports directly to the Director of CHOAC and the Office Manager.

Responsibilities

  • Ensure the safety and well-being of participants by maintaining order at all times, with particular attention during emergency situations, meal services, activities, and special events.
  • Distribute meal tickets at the greeting counter and support daily meal operations.
  • Collaborate with the Office Manager to organize and maintain accurate records of meal program attendance and group activities.
  • Perform daily data entry; collect, maintain, and file all participant records and sign-in sheets, and scan documents into STARS and other designated formats.
  • Provide general administrative support for office operations..
  • Conduct NSI assessments and update participant profiles within the STARS system.
  • Partner with the CHOAC Director and program team to assist in coordinating group activities, educational workshops, and festive events such as holiday meals, birthday celebrations, and cultural gatherings.
  • Supports a variety of educational, recreational, health promotion, and nutrition-related activities as needed.
  • Participate in staff meetings and ongoing training sessions.


Minimum Qualifications

  • Bachelor’s degree in a human services related field or a high school diploma with extensive experience in social services.
  • Demonstrated warm, empathy, enthusiasm, and energy, with sensitivity to and a deep understanding of the needs of older adults. Prior experience working with older adults is highly desirable.
  • Bilingual and bi-literate in Chinese and English is required. Proficiency in two or more Chinese dialects is a strong plus.
  • Exceptionally organized and detail-oriented; capable of managing multiple projects simultaneously, often under tight deadlines.
  • Experienced in addressing health and safety concerns specific to older adult populations.
  • Proficient in basic computer operations and software applications required.
  • Committed to cultural competency and inclusivity; demonstrates understanding and respect for racial, religious, ethnic, sexual, and individual diversity in working with clients and families.
  • Dedicated to working collaboratively with a diverse community of older adults, staff, and volunteers.


Compensation: $20 per hour

Hours: Tuesday through Thursday - 9:00 a.m. to 2:30 p.m. (15 hours per week)
