Schedule: 9:00 am to 5:00 pm | Part-Time
Pay Range: $20 - $25 Hourly

Job SummaryAs an Office Assistant, you will provide vital administrative support to ensure the smooth and efficient operation of our clinic’s day-to-day processes. From handling mail and document management to supporting onboarding logistics and processing sensitive requests, your attention to detail and organizational skills will help enhance overall workflow and support multiple teams across the organization.Roles and Responsibilities

Sort, scan, and distribute incoming and outgoing mail, including managing certified and banned letters.

Upload return statements and accurately maintain tracking systems and files.

Process and scan returned certified mail for record-keeping and appropriate departmental follow-up.

Deposit checks in coordination with the finance team and maintain proper records.

Assemble and distribute welcome kits for new hires to support onboarding.

Log and manage medical record requests in a high-volume spreadsheet, averaging between 500–900 entries, with dozens of additional requests received daily via email and mail.

Handle Medicaid enrollment forms, ensuring accurate processing and timely submission.

Provide general office support across departments to maintain workflow efficiency and ensure critical administrative needs are met.
Skills and Qualifications:

Associate's or Bachelor's degree preferred.

1–2 years of experience in administrative or office support roles; healthcare industry experience preferred.

Proficiency in Microsoft Office Suite and Google Workspace.

Familiarity with electronic medical records (e.g., eClinicalWorks) is an advantage.

Strong organizational skills with the ability to handle high-volume documentation.

Knowledge of HIPAA regulations and medical terminology is a plus.

Excellent written and verbal communication skills; bilingual in Spanish and English is preferred, but not required.
