Winston Staffing is seeking a highly organized and detail-oriented Administrative Coordinator to support one of our clients in Suffolk County. This temporary role is ideal for a candidate who thrives in a structured environment, can work independently, and demonstrates strong administrative, organizational, and communication skills. The Administrative Coordinator will work closely with the Administrative Director to manage a wide range of administrative responsibilities, including statistical reporting, compliance tracking, and personnel documentation.

Key Responsibilities

Payroll & Attendance Management

  • Prepare and verify payroll information within established timeframes.

  • Maintain accurate attendance, sick, holiday, vacation, and personal day records.

  • Identify and report attendance patterns and trends to the Administrative Director.

  • Generate and distribute accrual reports each pay period.

Development & Documentation

  • Prepare monthly dashboard statistics and submit to the Administrative Director.

  • Maintain and update laboratory manuals (e.g., GI 1, GI 2, Infection Control, Safety).

  • Monitor and track laboratory staff compliance (physicals, evaluations, competency assessments).

  • Maintain and update the Laboratory Overtime Report to assist with weekend coverage.

  • Track and report employee mandations and develop additional programs as needed.

Personnel Records Management

  • Maintain up-to-date personnel files and forward documents to Human Resources.

  • Submit Personnel Change Requests (PCRs) and other documents on time.

  • Keep an updated laboratory personnel list.

  • Identify and escalate employee-related issues to the Administrative Director.

Administrative & Secretarial Support

  • Draft professional correspondence, memos, and reports for the Administrative Director and Supervisors.

  • Answer laboratory phones courteously and efficiently.

  • Assist in coordinating coverage and securing overtime approval.

  • Organize and prepare monthly reports, including dashboards and overtime summaries.

Qualifications

  • Strong organizational and problem-solving skills.

  • Excellent written and verbal communication skills.

  • Ability to handle confidential information with discretion.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Prior administrative or coordinator experience, preferably in a healthcare or laboratory environment.

  • Bilingual proficiency a plus.
