REPORTING RELATIONSHIPS:
This position reports to the Deputy Director, Operations and Grants Management (“Deputy Director”) and collaborates frequently with the Early Child Care and Education, Programs, Fundraising, and Finance teams. The position will also interact with other LIIF staff and external parties.
JOB SUMMARY:
The Grants and Contracts Billing Coordinator (“Coordinator”) is responsible for preparing accurate and timely billing and invoices to account for LIIF’s government contracts, philanthropic contributions, and grants. The Coordinator also prepares reclassification entries for the general ledger and supports monthly budget-to-actual reviews, quarterly reporting, and compliance documentation.
This role aids the Deputy Director and the Senior Grants and Contracts Specialist (“Specialist”) in managing efficiency and compliance related to the philanthropic grants and public sector contracts that fund LIIF’s Programs team. The position requires financial analysis, problem-solving, and strong interpersonal communication skills to support collaborative work across multiple departments.
KEY RESPONSIBILITIES:
Finance and Billing
- Prepare and submit monthly contracts and grant billings and invoices in compliance with each agreement’s terms.
- Obtain and review all backup documentation to support billing and revenue recognition.
- Gather program progress and completion reports from staff to calculate monthly revenue recognition based on deliverable completion and associated contract value.
- Review general ledger activity and reconciliations to update and maintain the contracts and grants tracker.
- Monthly review of:
- Receivable and revenue balances and activity to ensure billing accuracy.
- Payments received, with updates shared interdepartmentally.
- Conditional grant listings and net asset release schedules.
- Propose and prepare reclassifying journal entries related to invoices and other billing, obtain necessary approvals, and coordinate with the finance team to ensure proper posting.
- Assist in audits initiated by grantors or contractors, including the annual federal single audit.
- Support the Finance team with the annual financial statement audit, Uniform Guidance Audit, and tax and regulatory reporting requirements.
- Provide support for quarterly financial reporting and compliance documentation.
Grants and Contracts Management
- Attend grant kick-off meetings with Programs teams to review reporting, revenue recognition, and compliance expectations.
- Review contract and grant agreements to determine appropriate accounting treatment and revenue recognition; document on contract summary forms.
- Assist in the preparation of monthly and quarterly budget vs. actual and forecast reports, exercising discretion to flag over- or under-spending and propose corrective actions.
- Maintain active communication with program teams regarding grant spending, deadlines, and reporting needs.
- Monitor and support compliance throughout the life cycle of grants and contracts.
- Ensure all grant awards are entered in Salesforce, and that financial reporting requirements are correctly identified and assigned.
QUALIFICATIONS:
Education & Experience
- Bachelor’s degree in Business Administration, Accounting, Finance, or a related field.
- Minimum of two (2) years of experience preparing journal entries, account reconciliations, and financial reports, preferably within a nonprofit or financial institution.
Skills:
- Demonstrated understanding of nonprofit or government grants and contracts.
- Strong knowledge of budgeting, finance, and accounting standards.
- Excellent analytical, problem-solving, and organizational skills.
- Ability to manage multiple projects, meet deadlines, and adapt under pressure.
- High attention to detail and accuracy.
- Proficiency in Microsoft Excel, Word, and PowerPoint.
- Ability to handle confidential materials with trust and integrity.
- Collaborative spirit and strong communication skills across departments.
- Experience with Salesforce or similar CRM/grant management systems preferred.
ADDITIONAL INFORMATION:
LIIF offers a hybrid work environment with flexibility to balance in-office and remote work. However, all employees are expected to work on-site at least two (2) days per week. The successful candidate may be expected to travel occasionally for meetings, trainings, conferences, or other Company sponsored events.
