Job DescriptionJOB INFORMATIONTitle: Principal Administrative Associate I/Crew Caller/Customer Service Agent (Transportation) First Date of Posting: 07/24/2025 Last Date of Filing: 08/06/2025 Authority SIRTOA Department: Subways Division/Unit: Staten Island Railway Reports to: Superintendent Work Location: Staten Island Hours of Work/Days off: Various Note: this position requires the candidate to work weekends and holidays and be on call for PM and Midnight tours to cover train crew jobs as needed.DESCRIPTION:This position is responsible for preparing and maintaining correspondence, records and files; compiling and tabulating statistics and data; preparing and inputting the Unified Timekeeping System Functions, preparing requisitions for purchase orders, and performing Metro card sales. In addition, the position requires the ability to participate in crew calling to arrange for employee coverage of all vacancies to meet daily and emergency train service requirements, by applying the rules of the bargaining unit. It is intended that the successful candidate be competent and have experience in Labor Agreements, Crew Assignment, Office Administration, Payroll Functions, Fare Media Functions, Customer Service Functions, Messenger Functions, Microsoft Office Suite Programs and Help Desk Attendant functions but are not department-specific regarding administrative and support duties and responsibilities. The successful applicant will be expected to carry out the duties and responsibilities of the position with considerable independence within the framework of established policies, procedures, and guidelines. Work and results will be reviewed through inspection and analysis of records, reports, and completed tasks to determine how the responsibilities of the position were performed correctly and efficiently. Assessment and development of the selected candidate’s administrative skills will also be a significant element of the Railway’s effort to ensure that the most qualified employee is retained in this position. Note: Employees will receive a differential rate when performing crew calling functions.RESPONSIBILITIES: The successful candidates will be responsible for covering open vacancies, as needed, for the Operations division’s crew caller functions, this includes being on call on a rotating basis, as directed; administrative functions; station agent and help desk duties and responsibilities as assigned; including but not limited to:
- Maintaining proper assignments, calling personnel for duty, posting related records.
- Coordinating track access requirements with the internal and external customers.
- Maintenance of electronic and paper records and files.
- Maintaining adequate records, making appropriate forecast adjustments and computer inventory as required.
- Prepare and perform material and audit reports.
- Documenting Safety audits and meetings with represented employees.
- Creating, maintaining programs and databases utilizing all functions of Microsoft Office Suite and other computer programs.
- Attending and representing the Division and/or the Railway at internal and external meetings.
- Ordering, receiving, distributing, controlling, safekeeping of Divisional equipment, supplies, stock, receipts, and all electronic/paper fare related media.
- Performing Fare Media and Cash Transactions (Metro Card Sales)
- Performing Customer Service by providing travel information, maintaining lost property logs, and arranging transfer of lost property.
- Interaction with other Staten Island Railway personnel, the general public, and officials and/or representatives of various government agencies, the MTA New City Transit, and the Metropolitan Transportation Authority.
- Exposure to highly confidential and sensitive records and all other aspects performed in support of managerial requirements.
- Achieving Department/Division goals and objectives.
- Furthering the Railway’s corporate effort to instill a culture of safety in every job/activity.
- The preparation and maintenance of the Operations Division’s correspondence, records, and files, as well as taking and transmitting of messages and communications.
- General dictation and transcribing of meetings.
EDUCATION AND EXPERIENCE:
- Must possess a high school diploma or equivalent.
- Must have a NYS Driver’s license.
- A minimum of three (3) years of experience in administration or a similarly related field is expected.
