Job Description:
- Maintain and manage Founding Partner’s highly organized calendar while keeping him and COO informed on any changes.
- Send reminders to Founding Partner on all meetings daily and put him on any calls.
- Work with receptionist to onboard and offboard all firm related staff.
- Work with receptionist to maintain firmwide calendar, and book travel for partner’s and associates.
- Work with receptionist to ensure kitchen is fully stocked and office is fully stocked.
- Maintain firm Contacts List and work with paralegals and other assistants to ensure upkeep.
- Provide logistical and operational support for COO and Founding Partner including personal tasks, running errands, scheduling doctors, coordinating/managing personal appointments, and RSVP’ing to events.
- Work with COO and Travel agent to coordinate travel, create itinerary, and ensure each trip is ensured with the controller.
- Reconcile monthly credit card reports each month.
- Order and keep track of household supplies for household staff.
- Coordinate with driver on schedule for the founding partner daily and inform them on any changes.
- Work with property management company to ensure repairs, and general upkeep of residences happens.
- Assist COO and Controller with any personal insurance claims.
- Manage and keep track of founding partner’s automobiles and boats making sure they are up to date on all insurance and inspections.
- Special projects and ad hoc admin work as needed.
Requirments:
- Bachelors degree is REQUIRED
- 24/7 mentality, available to respond to text/calls when needed.
- 2-6 yrs. of administrative experience supporting a busy executive working in a professional services environment.
