Position Overview: The Electronic Records Analyst manages physical and electronic records throughout their life cycles for all NYCEDC departments. This includes but is not limited to creating detailed record inventories for accurate search and retrieval to comply with the companywide retention schedule and policy, providing excellent customer service, and developing and adhering to policies and standards.
Essential Duties and Responsibilities:
- Perform basic functions for the Records Management department, including evaluation, inventory, and indexing of physical and electronic records according to business function.
- Determine proper classification and storage of records; determines indexing and search criteria.
- Evaluate retention categories and retention schedule requirements; maintains or disposes of records and files in accordance with internal policies and applicable laws, statutes, and regulations.
- Develop methodology and procedures for describing records and related systems to ensure effective operation and utilization of the records management database and other tools and systems.
- Identify and analyze department records systems; propose solutions to meet program and system requirements.
- Review documents for accuracy and clarity to avoid duplication of information and to provide efficient search and retrieval.
- Adhere to quality control standards and best practices set forth.
- Respond to requests for records research, orders, deliveries, pick-ups, uploads, and database training.
- Develop and deliver records management training, promotional, and educational materials on systems, program compliance, and best practices.
- Provide input for NYCEDC's records policies and guidelines by analyzing business processes.
- Assist in planning, development, and implementation of records management programs for NYCEDC departments and related entities.
- Assist in establishment of business processes and workflows for physical and electronic records.
- Other duties as assigned.
Qualifications:
- Bachelor's degree in Library Science, Information Management, or a related field.
- 3+ years of professional experience in electronic records management, information governance, archives, libraries, or a related role.
- Demonstrated experience providing records management support in help desk environment, including but not limited to responding to employee inquiries, assisting with records retrieval and classification, resolving issues related to records access or systems, and maintaining accurate documentation of support activities.
- Experience working with digital documents in an archives, library, or records management setting.
- Foundational knowledge of records management concepts and principles, archival databases, and/or online catalogs (including but not limited to classification, life cycle management, and conversion).
- Knowledge of metadata standards and schema and how to apply them to records.
- Proven ability to plan, coordinate, and execute projects effectively.
- Communicates effectively in both written and verbal formats, including reports, presentations, and meetings, ensuring information is tailored to diverse audiences and stakeholders.
- Able to work collaboratively with internal and external stakeholders and lead discussions and meetings.
- Experience with electronic document and records management systems (EDRMS), SharePoint, or similar platforms.
- Ability to lift boxes of records weighing up to 40lbs.
- New York City residency is required within 180 days of hire
Salary Range$67,000—$69,000 USD
